Privacy policy

Effective date: October 23, 2026 · Last updated: October 28, 2026

Collie is a hosted service at app.colliesr.com. This policy explains what we collect when you use Collie or this website, why, who helps us process it, and the choices and rights you have.

1. Who we are

Collie (the website colliesr.com and the app at app.colliesr.com) is operated by CollieSR Company, based in Wyoming, United States ("we", "us"). For the data described in this policy we are the controller (in Brazil, the controlador).

One mailbox handles every privacy question and request, including those addressed to our data protection officer (in Brazil, the encarregado): contact@colliesr.com.

2. Where your reviews are stored

Collie runs as a hosted service. Your reviews, records, decisions, PDFs and analyses are stored with our service providers (section 8) so that you and your collaborators can open them at app.colliesr.com; there is no version of Collie for you to install or run on your own computer. When you search, Collie sends your query to the databases you choose (section 8). If you connect your own AI agent (section 7), the Collie agent kit runs on your computer only to link that agent to your account: it keeps a sign-in token on that computer and sends data only to app.colliesr.com.

3. What we collect

CategoryWhat it includes
Account dataName, email address and password. Passwords are stored only as a hash by our authentication provider; we never see them in plain text. If you sign in with Google or Apple, the account identifier from that provider (see below).
Review contentImported records, screening decisions, notes, PDFs, extraction tables, risk of bias assessments, analysis outputs and the audit trail of changes, added by you or your collaborators.
Collaboration dataEmail addresses of people you invite to a review, and their role.
Billing dataPlan, billing period, payment status, invoices and the customer identifier from our payment processor. Card details are handled by Stripe; we never see or store full card numbers.
PreferencesLanguage, theme, font size and similar display settings.
Security and technical dataIP address, browser type, pages requested, times and error reports in our hosting logs; security records of sign-ins, account creation and device approvals, which include the IP address.
Referral dataIf you sign up through a referral link: the referral code and a keyed hash of your IP address, used only to prevent referral abuse. We do not store the IP address itself for this purpose.
CommunicationsMessages you send us, and delivery records of the service emails we send you (for example invitations, receipts and password resets).
Website analyticsAggregated, anonymous page-view counts from Vercel Web Analytics, which uses no cookies and no cross-site identifiers. Collected only if you click Accept in the cookie banner.

Please do not upload protected health information or other data that identifies patients. Our terms of use prohibit it; systematic reviews work with published, aggregate data.

Conversation requests. If you use the "Prefer to talk it through first?" form on colliesr.com, we receive the name, email address, institution, topic, preferred times, time zone and message you type. We use them only to reply to you and arrange the conversation, with your consent as the legal basis. Our email provider (Resend) delivers them to our mailbox; they are not stored in the Collie database. We delete the email thread when it is no longer needed, or sooner if you ask at contact@colliesr.com.

4. Where the data comes from

Sign in with Google or Apple

If you choose to sign in with Google or Apple, we receive only your name, email address, profile picture and an account identifier from that provider (Google scopes: openid, email, profile). We use them only to create your Collie account, sign you in and show your name in the reviews you share. We do not receive your password, contacts, files or any other data from your Google or Apple account. We do not sell this data, use it for advertising, or use it to train AI models, and we share it only with the service providers that run our sign-in and database (Supabase), under contract. It is kept while your account exists and deleted when you delete your account (Account › Delete account) or ask us at contact@colliesr.com. You can revoke Collie's access at any time in your Google Account (Security › Third-party connections) or Apple ID settings. Collie's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Why we use data, and our legal bases

The GDPR (and UK GDPR) and Brazil's LGPD require a legal basis for each use. Ours are:

Anything else we ask you to agree toConsent, which you can withdraw at any timeConsent (art. 7, I), which you can withdraw at any time

We do not use your data for automated decisions that have legal or similarly significant effects on you.

6. AI features

Collie has no built-in AI: we do not send your content to an AI provider of our own. AI features, such as suggestions from the assisted reviewer, AI extraction and Ask your data, work only through an AI agent you connect yourself (section 7), on your own AI provider and subscription. Suggestions are stored separately from human decisions and are never applied without a person accepting them.

7. Agents you connect

If you connect an AI agent, such as Claude Code, Claude Desktop, Codex, Gemini CLI, Cursor or Perplexity, through the Collie agent kit, that agent reads and writes your reviews on your behalf after you approve it in Collie. The data your agent reads from Collie is sent by your agent to the AI provider you chose, under your agreement with that provider. Collie does not choose or pay that provider and is not its controller for that processing. Those agents are your own tools, not our service providers. You can revoke an agent's access at any time in Collie › Settings › AI agents (MCP).

8. Service providers (subprocessors)

We use the following providers to run Collie. They process personal data on our instructions, under data processing terms, and may not use it for their own purposes.

When you search, Collie queries third-party literature services on your behalf: PubMed (NCBI), Europe PMC, OpenAlex, Crossref and ClinicalTrials.gov. They receive your search query, not your account data, and they are independent services with their own terms, not our subprocessors. We may also disclose data when the law requires it, or to protect the rights and safety of our users or the service.

9. Cookies and local storage

We use no advertising cookies. Today the website and the app use only the essential cookies and local storage listed below: they keep you signed in or remember a choice you made, and they are always on because the service needs them.

With your consent, we may also use analytics cookies on this website to understand how it is used and improve it. They are never set before you accept, and the site works the same whether you accept or not. The first time you visit colliesr.com we ask you to accept or reject them, with two equal buttons. You can change your choice at any time with Cookie settings at the bottom of every page, or by clearing this site's local storage in your browser. If you withdraw consent, analytics cookies stop being used from then on.

Vercel Web Analytics uses no cookies or local storage, and it loads only after you click Accept; if you click Reject, no analytics run. The website and the app load fonts from Google Fonts, so Google receives your IP address and browser information to deliver them.

10. No sale, no sharing, no targeted advertising

We do not sell personal data and do not "share" it for cross-context behavioral advertising, as those terms are used in U.S. state privacy laws. We do not use Google Analytics, the Meta pixel or any other advertising tracker, and we do not show targeted ads.

11. U.S. state privacy rights

California (CalOPPA). This policy is effective as of October 23, 2026. We describe above what we collect and with whom we share it; section 18 explains how we notify changes.

Do Not Track and Global Privacy Control. We do not track you across third-party websites, so nothing changes when your browser sends a Do Not Track signal: there is no cross-site tracking to turn off. We honour the Global Privacy Control (GPC) signal as a request to opt out of the sale or sharing of personal data; since we do not sell or share, our processing already matches that request.

Your rights. Wherever you live in the United States, you can ask us to:

Some state laws may not apply to a service of our size; we offer these rights to all U.S. users anyway. We do not collect sensitive personal information for the purpose of inferring characteristics about you. We will not discriminate against you for exercising any of these rights: you will not be charged a different price or get a lower quality of service.

How to submit a request. Email contact@colliesr.com, preferably from the address on your account, or delete your account yourself in Account › Delete account. We may ask for information to confirm your identity. An authorized agent may submit a request on your behalf with your signed permission. We respond within 45 days; if we need more time (up to another 45 days), we will tell you why. If we decline a request, you can appeal by replying to our decision.

12. Brazil (LGPD)

If you are in Brazil, we are the controller of your personal data and our encarregado (data protection officer) can be reached at contact@colliesr.com. Under article 18 of the LGPD you have the right to: confirmation that we process your data; access; correction of incomplete, inaccurate or outdated data; anonymization, blocking or deletion of unnecessary or excessive data; portability; deletion of data processed with your consent; information about the entities we share data with; information about the possibility of not consenting and its consequences; and withdrawal of consent.

We answer requests for access or confirmation in full within 15 days. You can also file a complaint with the Autoridade Nacional de Proteção de Dados (ANPD). Your data is stored in the United States; we transfer it only under the mechanisms the LGPD allows for international transfers.

13. European Economic Area and United Kingdom (GDPR / UK GDPR)

If you are in the EEA or the UK, you have the right to access, rectify and erase your personal data, to restrict or object to its processing, to data portability and to withdraw consent at any time. We respond within one month, which may be extended by two further months for complex requests; we will tell you if so. You also have the right to lodge a complaint with your local supervisory authority (in the UK, the Information Commissioner's Office).

International transfers. Collie and its providers are based in the United States, so your data is transferred there. We rely on the Standard Contractual Clauses (and the UK addendum where applicable) included in our providers' data processing terms where they offer them.

14. How long we keep data

You can export your reviews at any time before closing your account. If you cannot sign in, email us and we will delete your account after confirming it is yours.

15. Security

Data is encrypted in transit and at rest, session tokens are stored only as hashes, access is limited to people who need it, and every change to a review is recorded in an audit trail. No system is perfectly secure, so please use a strong, unique password.

16. Data breaches

If a security incident affects your personal data in a way that creates a risk for you, we will notify you without undue delay, and notify the authorities (such as a U.S. state attorney general, the ANPD or an EU supervisory authority) where and within the time the law requires. The notice will explain what happened, what data was involved, what we are doing, and what you can do.

17. Children

Collie is meant for researchers and students aged 16 or older, and you must be 16 or older to create an account. We do not knowingly collect data from anyone younger. If you believe a child has given us personal data, write to us and we will delete it.

18. Changes

If we change this policy in a meaningful way, we will update the dates above and tell users by email before the change takes effect. Earlier versions are available on request.
